Follow-ups: never drop a lead

One list of everything you and your team owe people, sorted into overdue, today and upcoming, with tasks you can hand to an Expert.

Customers → Follow-ups is your CRM’s task list. A task has a title, a due date, someone assigned, and links to the person, company or deal it’s about. Filter by Mine, Everyone or Experts awaiting approval, then by Overdue, Today, Upcoming or Done.

You can give a task to a teammate or to an Expert you’ve hired. An Expert never starts on its own: the task waits until someone presses Approve and run.

Why it helps

  • Every promise you make has a date and a name against it, so nothing depends on memory.
  • Overdue and Today show what needs doing first, every morning.
  • Routine follow-up work can go to an Expert, who starts only after you approve it.

How to use it

  1. Open Customers → Follow-ups. Choose Follow-ups under Customers. Pick whose tasks to see and when they’re due.
  2. Add a task. Press New task, write a title such as “Send the revised quote” and set Due. Link a person, deal or company if it’s about one, then press Add task.
  3. Choose who does it. Under Assign to, pick yourself, a teammate or an Expert. For an Expert, write what they should do in the brief box.
  4. Approve Expert tasks. Open Experts awaiting approval and press Approve and run when a task is ready to go. The run uses your plan’s runs or credits.
  5. Tick it off. Click the checkbox beside a task to mark it done. Finished tasks move to Done, and an Expert’s shows Delivered with a note of what came back.

Make the most of it

  • Add tasks from a person’s or deal’s page with Task: they come already linked, so the follow-up shows on their record too.
  • Set Time zone in CRM settings so “today” and due dates mean your business’s today.
  • The owner can switch off Teammates may approve Expert tasks in CRM settings to keep every Expert run as their own call.
  • Ask Orbit to tell you who to follow up with today, then turn the answer into tasks.

Questions

Will an Expert start a task without me?

No. A task given to an Expert waits under Experts awaiting approval until someone presses Approve and run. That can be you or a teammate, unless the owner limits it to themselves.

What if an Expert’s run doesn’t finish?

The task says the run didn’t finish and stays open. Press Approve and run again to try once more.

Does it send me reminders?

Not by email. Open Follow-ups and check Overdue and Today; that is where everything due waits for you.
