CRM: every customer, and what to do next
Keep every customer, lead and company in one place, with their history, deals and next steps, so nobody you’ve talked to slips away.
Your CRM lives under Customers: People, Companies, Deals, Follow-ups and Imports. Each person has one profile with their stage (New, Warm, Hot, Customer or Lapsed), their company, open deals, tasks, notes and a timeline of what has happened.
People who join your email list show up here by themselves. Everyone else you add by hand or bring in from a file. Orbit, your CRM Expert, can research contacts and draft the next reach-out into your Gmail drafts. Nothing is sent for you.
Why it helps
- Every note, call, deal and task for a person sits on one page, so you walk into a call knowing the history.
- Stages and quick views like No activity 30 d show who has gone quiet before they go cold.
- Work emails link people to their company by themselves, so you see everyone at a client in one place.
How to use it
- Open Customers → People. Choose People under Customers. Search by name, email, phone or company, or pick a quick view such as My people or Customers.
- Add someone. Press Add person, fill in what you know and press Add person again. To bring in a whole list, press Import instead.
- Open their profile. Click a name to open the profile. Set their Stage and Owner from the chips under the name, and add CRM tags.
- Record what happened. Press Add note for anything worth remembering, or Log to record a call or meeting with a short summary. Both land on their timeline.
- Plan the next move. Press Task to set a follow-up with a due date, or Deal to start tracking work you hope to win from them.
- Work in bulk. Tick several people on the list, then use Tag, Stage, Owner, Company or Task in the bar that appears.
Make the most of it
- Use Filters, the sort menu and Columns to build the view you check every week. The columns you pick stay as you left them in that browser.
- Brief Orbit in Chat with “who should I follow up with today?” He reads your contacts and drafts the email into your Gmail drafts for you to send.
- Add the decision maker and whoever pays to each deal, not just your main contact, so the whole relationship is on record.
- Set Link companies from work emails in CRM settings: someone at acme.co joins Acme, while Gmail and other personal addresses never do.

Questions
Who on my team can see the CRM?
Everyone on your team can see and work in it. A few actions are for the account owner only: exporting, deleting people and adding them to your email list.
Does adding someone put them on my email list?
No. People you add or import as leads stay in the CRM only. They join your email list when the owner ticks Also add to your email list, adds them from their profile, or imports them as subscribers who agreed.
Does the CRM contact people by itself?
No. The email, WhatsApp and call buttons open your own mail app, WhatsApp or phone. Orbit’s outreach lands in your Gmail drafts, and you press Send.
