From proposal to signature to paid

Turn a reply into a priced proposal, a click-to-sign link and an invoice your client pays through your own Razorpay or Stripe.

The gap between a yes and the money is where deals go quiet. Under Customers → Prospects, a reply becomes a deal, the deal gets a proposal with your prices, your client accepts it online, and the invoice follows from the same lines.

You type every price, approve every document and send every email from your own Gmail. Payment links are made in your own Razorpay or Stripe account, and the money goes there.

Why it helps

  • A proposal goes out the same day as the conversation, while the client still remembers why they wanted it.
  • Your client accepts online with their name and email, so there is nothing to print, sign or scan.
  • The invoice reuses the accepted proposal’s lines, and it is marked paid only when your payment provider confirms it.

How to use it

  1. Turn the reply into a deal. Open Customers → Prospects and choose the Deals tab, where conversations that got a reply wait. Press Create deal to add it to your CRM.
  2. Draft the proposal. Press Draft a proposal, type each line with its quantity and price, pick the currency, then press Write the proposal. The words are written around your numbers; prices only come from you.
  3. Approve it. Read it, then press Approve (numbers and freezes it). An approved proposal gets a number and can’t be edited, only replaced.
  4. Send the signing link. Press Email it to them (Gmail draft) and send it from Gmail, or Get signing link to share it yourself. When your client accepts, the deal moves to won.
  5. Create the invoice. On the won deal, press Create invoice. It starts from the accepted proposal’s lines; add GST details if you charge GST, press Draft the invoice, then approve it.
  6. Connect your payments. On the Invoices tab, under Online payments, press Connect Razorpay or Connect Stripe.
  7. Send it and get paid. Press Email it to them (Gmail draft) or Get payment page link. Paid by bank transfer instead? Press Record a payment.

Make the most of it

  • Fill in your legal name, address and payment details before your first invoice. The Invoices tab shows what is still missing.
  • Keep proposals valid for a short time (14 days is the default), so the yes comes while the conversation is warm.
  • Bill in rupees and other currencies? Connect both: rupee invoices go through Razorpay, others through Stripe.
  • Client lost the email? Press New link and send it again: a new signing link withdraws the old one.

Questions

Is the online acceptance legally binding?

It records who accepted, when, the exact sentence they agreed to and a fingerprint of the document. Whether that is enough for your contract depends on where you and your client are, so check with your adviser for anything high-stakes.

Can I send a proposal to someone who didn’t come through Prospects?

Today, signing links start from a reply under Prospects. For anyone else, Aria can draft a one-page proposal from your bullet points that you send yourself.

Does it chase late payers?

Not yet. Reminders are yours to send, and the Invoices tab shows what is due and overdue so you know who to nudge.

Can my teammates do this?

Teammates can draft proposals and invoices. Signing links, payment links and connecting Razorpay or Stripe are for the account owner.
